Gmail Tips – Never Login to More Than One Email Account Again


If you’re like me or many other webmasters out there or just someone with an online presence, you probably have multiple email accounts across multiple platforms – Google, Yahoo, Hotmail, one AOL email here, another email with your top level domain there. Hold back, I’m gonna push some garbage off your overflowing dump trucks. What if I told you that you only need one Gmail account for everything?

Why Gmail?

Gmail LogoPersonally, I like the gmail interface a lot. You can manage everything from one google account – documents, meetings and schedules, chat. Plus, setting up a gmail account to fetch emails from all your alternate email accounts is quite easy. Moreover, the archive feature rocks and their enough of space for all your email to feel comfortable.

So, you first have to create a new gmail account. Lets suppose you made masteraccount@gmail.com. Below, I’ve covered how you can fetch emails from different email accounts into this one master gmail account.

Gmail’s Inbuilt Forwarding Option

If you’ve multiple gmail accounts and want them to be managed under a single account, then gmail provides a pretty neat forwarding option. Login to your gmail account, go to Setting > Forwarding and POP/IMAP and under the forwarding option, select forward a copy of incoming email and put masteraccount@gmail.com in the appropriate field.

Fetching Emails From Yahoo, Hotmail or AOL

I’m not sure if either of Yahoo, Hotmail or AOL email provides a forwarding feature like gmail but all of these email providers allow free POP access to your email account. And we’ll use this feature to our advantage.

First of all, enable POP access in your Yahoo, Hotmail or AOL account.

Know Your Settings

After initially setting up POP access, you need to know your email provider’s POP settings. What you basically need is the following information:

  • Email Address
  • Username
  • Password
  • POP Server
  • Port
  • Requires SSL?

Setting Up the Master Account to Fetch Mails From POP Server

The next thing you want to do is setup masteraccount@gmail.com to receive emails from your secondary accounts.

Login to your master account and go to Settings > Accounts and Imports and then under the Check Mail Through POP option, click on Add POP3 Email Account. Then, gmail will guide you through the whole process. If in doubt, check the following image tutorial out:

Sending Emails From Your Master Gmail Account

Now that you’re receiving emails from all your external email accounts to one master gmail, you might want to send emails from your external email accounts without juggling among email providers?

Gmail allows you to do just that. Go to Settings > Accounts and Imports and click the button that reads “Send Email From Another Address”.

Just follow through the steps. You’ll have to verify the email address but since you’re receiving all your emails into the master account, you’ll get the confirmation email in the master account itself! This can and will be a HUGE time saver.
